LIFE INSURANCE HELP DESK – PRIVACY POLICY

This Privacy Policy describes the data collection, use, disclosure, and protection practices of Help Desk Financial LLC, operating under the DBA “Life Insurance Help Desk,” in accordance with federal and state-level privacy laws, including the California Consumer Privacy Act (CCPA), the Virginia Consumer Data Protection Act (CDPA), and other applicable regulations. By using our website, providing information, or scheduling an appointment, you consent to the practices described in this Privacy Policy.
 
SECTION 1. BUSINESS INFORMATION
Help Desk Financial LLC (“the Company,” “we,” “our,” or “us”) is a Virginia limited liability company operating under the trade name Life Insurance Help Desk. Our business address is 800 W Broad St. #201 Falls Church, VA 22040. The Company may be contacted at lifeinsurancehelpdeskinfo@gmail.com for all privacy-related inquiries. The Company currently uses a personal phone number for business communications and does not maintain a dedicated business phone line. All business communications, including consumer contact, occur through email, text message, or phone.
 
SECTION 2. PERSONAL INFORMATION WE COLLECT
The Company collects personal information necessary to deliver appointment scheduling services, connect consumers with licensed life insurance agents, and maintain operational functionality. The categories of personal information collected include names, phone numbers, email addresses, physical addresses, household member information, and limited financial information consisting only of a monthly budget voluntarily provided by the consumer.
 
The Company does not collect or store consumer health data or underwriting source information, including medical records, medical histories, underwriting questionnaires, prescription information, laboratory results, physician statements, or other source medical documentation. Any health or underwriting information required for insurance applications is gathered, retained, and disclosed solely by licensed agents and insurance carriers within agent-controlled or carrier-controlled systems in the course of performing life insurance duties.
 
Additional information collected by the Company may include age (not date of birth), legal gender, country or region, city, zip code or postal code, special access instructions for a property, any safety concerns at the appointment location (including hazardous conditions, presence of dangerous animals, potential contagions, or infestations), the consumer’s stated budget for life insurance, goals for the appointment, desired coverage types, and high-level information regarding whether the consumer has existing insurance coverage.
 
For supervisory, compliance, and record keeping purposes, the Company may receive and retain summary-level policy and underwriting outcome information from licensed agents, such as coverage amounts, premium amounts, policy type, carrier names, application status, and approved risk or rate class. Such summaries do not include medical records or detailed health information and are retained only as required for lawful agency oversight and compliance.
 
Personal data may be stored in the Company’s Wix CRM system, in locally maintained systems, or by agents who are responsible for servicing the appointment. The Company may adopt additional CRM tools in the future. All data is password-protected and stored securely. Personal information is retained only for the period legally required for insurance marketing agencies and is destroyed, archived, or access-restricted thereafter using commercially reasonable methods, subject to platform-level retention limitations disclosed below. Retention periods and destruction standards are further defined in the Company’s Internal Data & Security Policy and Record Retention Schedule.
 
Certain appointment, booking, or transaction-related records are generated and stored by the Company’s website platform provider as part of system functionality. While the Company archives records once they are no longer operationally necessary, some records may be retained by the platform provider due to technical, accounting, audit, or compliance constraints beyond the Company’s direct control. The Company restricts access to such records, does not actively use archived data beyond lawful business purposes, and does not collect or store sensitive personal information through these systems.
 
SECTION 3. HOW WE USE PERSONAL INFORMATION
Personal information is used to contact consumers regarding appointments, facilitate appointment scheduling, and maintain operational communications. Consumers may self-schedule using online tools or request assistance via phone or email. The Company does not use consumer information to run financial needs analyses, submit insurance applications, or perform underwriting functions. Licensed agents, acting independently, perform all financial needs analyses and submit all applications directly to insurance carriers with the consumer’s authorization. The Company does not personally transmit consumer information to carriers,
The Company does not share consumer data with lead vendors, as the Company itself is the lead vendor. The Company may use the Wix CRM system and may engage third-party administrative staff or software solely for appointment scheduling and operational management. Such third parties do not own, sell, or reuse consumer data.
The Company does not re-market or retarget consumer information. Wix Analytics is used exclusively for operational analytics and website optimization and is not used for behavioral advertising, retargeting, or data sales.

SECTION 4. DATA STORAGE AND SECURITY
Consumer information may be stored in the Wix CRM, local systems, password-protected devices, and secure storage maintained by agents. The Company uses reasonable and appropriate security measures, including encryption where applicable, password protections, and restricted-access protocols. Personal information is retained only as long as legally required for insurance marketing operations and is securely destroyed or archived when no longer operationally necessary. Certain records stored within third-party platforms used by the Company may be retained beyond the Company’s direct deletion control due to platform-level system requirements. Data retention, archiving, access restriction, and destruction practices are governed by the Company’s Internal Data and Security Policy, which establishes minimum retention periods and secure handling procedures for brokerage-level records.
SECTION 5. DATA SHARING AND THIRD PARTIES
The Company may share data with third party services strictly for operational support, including Gmail, Wix email, Wix SMS, Wix website services, GoDaddy domain hosting, and the Wix appointment booking system. These third party services act solely as service providers and do not acquire ownership of consumer data.
 
US Patriot Group LLC, through contracts administered by Senior Select of Georgia LLC, may receive limited client information for oversight and administrative functions, which may include names, premiums, coverage amounts, beneficiaries, and policy types. These upstream agencies are not producing agents, do not service policies, and do not access full client files. Any guidance provided by these entities is limited to administrative or supervisory support consistent with their role. These entities are considered service providers and may not use, resell, or redistribute client information beyond the limited operational purposes outlined.
 
Licensed agents may share data with carriers only when an insurance application is being submitted and only with consumer consent. The Company may sell appointments to its contracted agents, but this does not constitute selling consumer data under the CCPA or CDPA. Agents are prohibited from reselling or redistributing consumer information.
 
SECTION 6. LEAD CONSENT AND TCPA COMPLIANCE
The Company and its agents may send SMS text messages to consumers for appointment confirmations and related communications. The Company may use Wix’s automated texting features for administrative appointment reminders. By submitting personal information or scheduling an appointment, consumers consent to receive calls and text messages related to the requested appointment, scheduling, and follow-up communications from the Company and its agents. Consumers may opt out of text messaging at any time by replying “STOP.” Standard message and data rates may apply.
 
SECTION 7. STATE-SPECIFIC PRIVACY RIGHTS
Consumers have the right to request access to their personal information, request correction of inaccuracies, request deletion subject to legally required retention, and request disclosure of how their information is used. These rights apply under the CCPA, CDPA, and any other applicable privacy laws. The Company provides a universal right-to-delete policy subject to legal record keeping obligations required of insurance marketing agencies. Where permanent deletion is not technically feasible due to platform-level retention requirements, the Company will fulfill deletion requests through archiving, access restriction, and cessation of use, consistent with applicable law. Consumers may submit privacy-related requests via the contact email listed in Section 10.
 
SECTION 8. COOKIES, TRACKING, AND RETARGETING
The Company does not use Facebook or Meta Pixels. The Company does not use tracking pixels or retargeting tools of any kind. Wix Analytics is used solely for operational analytics and website optimization and does not perform behavioral advertising, retargeting, or data resale. Because the Company does not use non-essential tracking technologies, no cookie banner is required or used. The Company may adopt additional analytics tools in the future, such as Google Analytics, solely for operational and site-performance purposes; however, such tools will not be used for retargeting, behavioral advertising, or data selling.
 
SECTION 9. FUTURE EXPANSION AND AGENCY STRUCTURE
The Company anticipates onboarding additional agents and sub-producers over the next 12 to 24 months. Sub-producers and all licensed agents working under the agency NPN are considered service providers and must comply with the terms of this Privacy Policy. Internal staff, which may include virtual assistants, appointment setters, independent contractors, and unlicensed support personnel, may have access to consumer data solely for permitted operational purposes and are bound by confidentiality and restricted-use obligations. The Company does not currently operate multiple DBAs or brands and does not require provisions for such operations at this time.
 
SECTION 10. CONTACT INFORMATION FOR PRIVACY REQUESTS
Consumers may submit privacy requests, including requests to access, correct, delete, or inquire about their personal information, by emailing lifeinsurancehelpdeskinfo@gmail.com. The Company does not provide a telephone contact for privacy matters. Email-only communication is used for all privacy-related requests.
 
SECTION 11. WEBSITE DISCLOSURES AND DISCLAIMERS
Insurance product availability varies by state and may be subject to carrier-specific eligibility, underwriting, and policy limitations. All educational materials, tools, and informational content provided by the Company are for educational purposes only and do not constitute legal, tax, or financial advice. Consumers should consult qualified professionals regarding legal or tax matters.
